The Project Manager will ensure that the scope of the project is
defined and understood by all parties at the Initial Kick-off Meeting.
The outcome of this meeting should be that:
- Technical scope is established
- Basic areas of performance responsibility are accepted by the
participates
- Overall timelines and deliverables are spelled out
Each department or individual accepting responsibility for a portion
of the project should agree to deliver, by the next project meeting,
a preliminary but detailed plan about how that responsibility will
be accomplished.

The Project Manager will schedule regular meetings with all major
stakeholders in order to communicate the status of the project.
These meetings will be used to:
- Defining and agreeing deliverables
- Reviewing project plans with respect to progress on work performed
and to work to be performed
- Identify potential risks
- Discuss and update Action Register
- Review open work orders
- Detail expectations and deliverables for next meeting

Project Managers are expected to develop a detailed project plan
using Microsoft Project. This plan should be jointly developed with
the assistance of any and all departments that have deliverables
and will be owned and maintained by the Project Manager.

Project Plans will be updated on a regular basis. The Project Manager
and major stakeholders will decide the timing and distribution of
the updates.
If there are conflicts which are the result of late or inaccurate
updates, missed deliverables, or any other event which causes delay
or adds cost, the arbitration and escalation points will be as follows:
- Project Manager
- Director of Operations
- Chief Operating Officer
